Application Process
If you wish to study at Masaryk University under the Erasmus+ programme, first check with your home university to see if it has an agreement with a particular faculty or department at Masaryk University. Then you should follow the nomination selection process at your home university. Please contact your coordinators for more information.
If we accept your nomination, it does not mean that you have been accepted as a student at Masaryk University. There are several steps you have to go through in order to receive an acceptance letter.

The nomination and application process
The process of acceptance at Masaryk University consists of a few steps:

1/ NOMINATION
Your home coordinator has to nominate you online (without a nomination, you cannot access the online application).
2/ INFORMATION E-MAIL
Once your nomination is submitted, you will immediately receive an automatic information e-mail with a link to your online application.
3/ ONLINE APPLICATION
Now you can fill in the application. See the deadlines in the Deadlines section. Please watch out for the deadline for applications, as late applications will not be accepted.
Application documents:
There is a list of application documents which you need to arrange before uploading them to your online application (we do not need the originals by post or copies by e-mail):
- printed online application: after the application is filled in and submitted online, it will automatically be saved in our online database and sent to your e-mail. Check your e-mail and find your online application form, print it out, sign it and bring it to the Erasmus exchange coordinators at your home university for signature. Then, upload it signed by at the link you received.
- Learning Agreement (LA): A document in which you list courses you would like to study at Masaryk University. Please read more about the document requirements here.
- certificate or document proving your level of English: The required level is B2. Please read more about the document requirements here.
These three duly signed application documents have to be scanned and uploaded to the student’s MU online application no later than on the deadlines given in the Deadlines section. Since 2021/2022, most universities use an Online Learning Agreement – this one is not uploaded but created online. Nevertheless, you can check in your online application whether we have received it (see below).
Dormitory reservations usually open 1-2 months before Orientation Week. Your coordinator will inform you about the booking date and procedure by email in December/July.
4/ LETTER OF ACCEPTANCE
After having uploaded all your application documents, your (Online) Learning Agreement (LA) is sent for approval to your departmental coordinator. As soon as your LA is approved, we notify you of the approval, and we send you an Acceptance Letter (students needing VISA will receive a letter of acceptance for VISA purposes after the nomination deadline by post even if they have not uploaded the application documents by then).

Learning Agreement
The Learning Agreement is a basic document that, along with the Transcript of Records, ensures recognition of the period of studies abroad by the home institution. It is a formal contract collaboratively developed by three parties – the student, the home institution coordinators and the host institution coordinators.
The Learning Agreement includes courses the student is expected to accomplish during his or her studies at the host institution. It is a list of courses that must be approved and signed by all three parties (student, home institution, host institution). Before arrival at Masaryk University, the student is obliged to:
- fill in the Learning Agreement with courses offered to international students at Masaryk University
- Name: MASARYK UNIVERSITY
- Erasmus code: CZ BRNO05
- Faculty: check in your online application which faculty at MU you were nominated to
- Department: check in your online application which department at the faculty you were nominated to (the Faculty of Economics and Administration, Faculty of Medicine, Faculty of Pharmacy and Faculty of Law do not have departments for exchange students – leave it empty)
- Address: Žerotínovo nám. 9, 601 77, Brno, Czech Republic
- Country: Czech Republic
- Departmental coordinator: check your online application, tab “Your coordinators”
- sign it
- get signatures and approval from home university coordinators
- upload it to the MU online application and wait for approval from Masaryk University coordinators
Online learning agreement (OLA)
Since the academic year 2021/2022, students are required to prepare an Online Learning Agreement instead of the old, paper one.
If your university indicated that it is connected to Erasmus Without Paper and ready to work with OLA, you will see something like this in your online application:
This means that you will prepare your OLA in the system of your home university (or a platform like Dashboard or ErasmusPort). Your home university coordinator will give you more information. Then, Masaryk University coordinators automatically receive the document and can review it.
In case your home university is not ready to use OLA, you will use an old, paper (PDF) LA. In your application, you will see something like this:
This means that you must prepare a paper document, sign it, have it signed by your home university, and upload it in the available slot. Electronic signatures or signatures in pen are both accepted. You should use the form of your home university (if it has all the requirements of a learning agreement), or our template (see the section Documents on the right).
CHOOSING COURSES FOR YOUR LA
- You should choose the majority of your courses at the department you were nominated to, to respect the bilateral agreement between the universities.
- The Faculty of Medicine and the Faculty of Pharmacy require its students to choose almost all courses at the faculty.
- Some departments are more flexible – email your departmental coordinator if you need an exception to this rule.
- The list of courses for the next semester might not be finalised when you are creating your LA – in that case, you can use the list of the previous autumn or previous spring semester. Courses that are taught every year will probably be taught again, and if not, you can change your LA after your arrival. When in doubt, you can also message the teacher of the course you are interested in.
Remember
- You must choose at least 20 ETCS per semester.
- You must fill in the course codes in the section “Component code”. If there are no course codes, your LA will be automatically rejected.
- Paper LAs must be signed by you and your home university before you upload them.
- The “responsible person” at Masaryk University is not your Erasmus coordinator, but your departmental coordinator (see your online application).
REGISTRATION AND ENROLMENT IN COURSES ONLINE
Masaryk University uses an Information System for registration and enrolment in courses online. The dates and deadlines of the registration period, the enrolment period and the seminar group enrolment period are mentioned here. The periods may differ at each faculty. You MUST register for courses in the IS mentioned in your Learning Agreement. How do you register and enrol? See our IS Guidelines. Don’t forget to enrol in a seminar group too if your course has them.
Extent and Intensity of Courses
You can see three numbers for course intensity. The first is the number of hours for lectures, the second is for class exercises/seminars and last one stands for other teaching methods such as labs, etc.
- Example: 2/0/0 (lectures 2, class exercises 0, select another 0)
According to number of credits gained, you can find two numbers. The first number is the amount of credits gained by completion and the second is the number of possible extra credits.
- Example: 1+1 (plus extra credits for completion). This means that the student can gain a specific amount of extra credits if he/she completes the course with a colloquium/examination or any other type of completion.
For detailed information please contact the teacher of a particular course or your departmental coordinator.
PROBLEMS WITH REGISTRATION AND ENROLMENT
You may encounter some issues during course registration, such as courses being for “other study fields than yours”, you “not meeting the prerequisites”, or being “over the capacity limit”.
The study field issue and the prerequisites issue are usually not a problem. Find out how to apply for enrolment exceptions in the IS Guidelines or in the video on enrolment. Applying for exceptions is only possible when your faculty is in the enrolment period, see here when that is.
When you are over the capacity limit, you can also apply for an enrolment exception – some students may unenroll later, or the teacher may grant you an exception anyway. However, be prepared to enrol in a different course if you cannot enrol in this one.
Teachers review enrolment exception applications towards the beginning of the semester. If your application is still undecided in the first week of teaching, and you really need to attend the course, come to the first lesson of the course (see the course information for place and time). Some teachers prefer to grant exceptions to students who show up to the first class.
CHANGES TO LEARNING AGREEMENT
After trying to register and enrol online in the courses mentioned in your Learning Agreement, you will probably find that some courses have to be changed, either new courses added, or original courses deleted. You have to make changes to the Learning Agreement afterwards:
- Make the changes in IS online (within 2 weeks from the beginning of the semester.
- When you are sure that your enrolment changes are final, prepare Changes to Learning Agreement online in the same platform where made your original Online Learning Agreement. If your home university does not use Online Learning Agreement yet, prepare a paper document (see section Documents on the right or use the template of your home university) and upload it in your online application.
- Have the changes approved by your home university and by Masaryk University.

Placement Extension
If you have been nominated only for the autumn semester by your home university, you can apply for a stay extension to the spring semester. Some bilateral agreements between universities do not allow to nominate students for the whole academic year at once, so the extension is a way to stay for both semesters.
Download the Application for Extension of Erasmus Placement (see the Documents section), fill it in and upload it to your online application no earlier than in the middle of October. The CZS coordinator will forward your application to the departmental coordinator at Masaryk University for approval. Alternatively, you might ask the departmental coordinator for a signature in person and then upload the application with her/his signature.
Signed/approved applications will be sent to your home university. If the home university agrees with the extension, you can stay the whole year. Please, be informed that if your home university does not have a scholarship for you for the spring semester, you may stay here as a zero-grant student – scholarship decisions are solely in the hands of sending institutions. If your home university has a different extension form, you can use that one.
After the extension is approved, you need to extend your accommodation contract and prepare a Learning Agreement for spring.
If you need visa to study in Czech Republic, do not forget to apply for visa prolongation as well. Contact your coordinator for a confirmation of study for spring and the dormitories for the accommodation document.
Extensions from the spring semester to the autumn semester of the following academic year are not possible, but you can try asking your home university to nominate you again to the next academic year.

Before Departure
Pre-departure instructions can be found out here. Your coordinator will send you an updated version of this document a few weeks before the end of the semester, but the process is most likely to stay the same.
