Participation Conditions

The Erasmus+ study placement is open to a student who:

• is enrolled on an accredited bachelor’s, master’s or doctoral study programme at MU – full-time, combined or distance forms of studies
• is a citizen of one of the programme countries or is a citizen of another country but is studying in the programme country in an accredited programme of study, in any year
• throughout the period of their placement is enrolled in studies at the faculty/department through which the placement was organised, and the studies may not be ended or interrupted.
• has been selected in a duly announced selection procedure
• fulfils the Qualification Conditions of the Erasmus+ Programme (which you can find in the Documents section)
• wishes the study placement to be in their Country of Origin receives the lowest priority during the selection procedure and is given the status of a zero-grant student, i.e. is not entitled to receive the financial support
• is not travelling to their Country of Residence
• not studying in the Czech Republic under the Erasmus+ / Erasmus Mundus / Erasmus+ ICM programme

Study placement conditions:

• a study placement can take place only on the basis of a valid inter-institutional agreement between the relevant faculty/department of MU and the host institution
• the length of the study placement is 12 months at maximum (note the long master’s programmes, see the Qualification Conditions in the Documents for more information), previous mobility (study and work placements) count towards this period.
  • Although repeated Erasmus+ placements are possible, they may be assessed on the basis of the preferences announced in the selection procedure for a given academic year, given the limited funding allocated by the European Commission for this activity.
• the duration of the study stay is min. 2 and max. 12 months
  • From the academic year 2020/2021 it is also possible to carry out an online mobility or a blended mobility (a combination of online and physical mobility). Such mobilities will be recognized into the individual studies. In the case of combined mobility, the physical part of the mobility must meet the minimum duration requirement of the Erasmus+ rules (2 months). In case of a force majeure situation (duly justified and documented), the duration of the physical mobility may be reduced or cancelled and replaced by an extension of the virtual mobility period.
  • The period of online mobility is not financially supported by Erasmus+ financial supposer is only granted for the period the physical mobility.
• a condition for the successful completion of the foreign study placement is the gaining of at least 20 ECTS credits for a semester of study at the host institution

Financial Conditions

The student will be given a grant from the funds for the Erasmus+ programme on the basis of a signed Grant Agreement. The grant is calculated on the basis of the anticipated length of the study placement, and for this calculation 1 month is taken to be 30 days. The monthly grant is set on a national level and the mount is the same for students of all higher education institutions.

Funds are paid:

• in CZK to accounts in crowns held at any bank in the Czech Republic; the allocated amount of the grant will be transferred according to the monthly exchange rate of the European Commission and sent to the student's account in CZK, or
• in EUR to a euro account held at any bank within the European Union

The grant will be transferred to the student’s bank account entered into the IS MU in accordance with the agreed payments. 

The grant serves for only partial coverage of costs, being only a contribution to the increased costs linked to a placement abroad – the financial contribution of the student is assumed.

Differentiation of grants for Erasmus+ study placements:

• 600 EUR/month – countries with a high cost of living:
  • Austria, Belgium, Cyprus, Denmark, Finland, France, Germany, Greece, Iceland, Ireland, Italy, Lichtenstein, Luxemburg, Malta, Netherlands, Norway, Portugal, Spain, Sweden, Switzerland, United Kingdom
• 480 EUR/month – countries with a low cost of living:
  • Bulgaria, Croatia, Estonia, Hungary, Lithuania, Latvia, North Macedonia, Poland, Romania, Serbia, Slovakia, Slovenia, Turkey

The duration of the online mobility is not financially supported within the Erasmus+ programme. Financial support is given in cases of physical mobility abroad or in case of physical part of the blended mobility.

As of the academic year 2023/24, the following applies:

• a student may undertake a maximum of one mobility with MU financial support per academic year. In a case of another study placements, the student will have the status of zero-grant student, i.e., is not entitled to receive the financial support
• a student selected for a two-semester study placement will only be eligible for one semester with financial support, for the remaining duration the student will be a zero-grant student

Green Erasmus

A student can apply for Green travel individual support top-up (single contribution) in a total amount of 50 EUR. The student is entitled to receive the allowance if they prove the use of environmentally friendly transport to travel to the place of the traineeship (environmentally friendly transport must be the main means of transport for each trip – there and back) and if the distance between the sending and receiving institution is more than 100km (you can check the distance here).

Environmentally friendly transport is considered to be: bus, train and carpooling (or a combination of these). If the student uses air travel for at least part of the journey, they will lose the right to this one-off allowance. If someone drives the student to the mobility location and returns without them (family, friends), it is not considered a carpool.

The student is obliged to provide all receipts, invoices and other documents confirming the use of green travel and send that to the Erasmus+ coordinator after the end of the mobility, the financial support will be paid after the documents have been checked.

Increasing of financial support for students from disadvantaged socio-economic environments

This does not constitute a social grant!

The student can apply for increased financial support for a student from a disadvantaged socio-economic environment, provided that before their departure they submit:

• a document that confirms that they are entitled to child benefit and that the family’s income for the preceding year, decisive for the awarding of benefits, does not exceed the family subsistence level multiplied by a coefficient of 3.4. The document must include a translation of the confirmation to Czech (this does not apply to a confirmation in Slovak), and the document must be verified in the form of an apostille or superlegalization. The content and form of the document is to be individually consulted with the coordinator at the CZS.

The student must apply for the increased financial support by uploading the aforementioned documents in the ISOIS application no later than 10 days before signing of the Grant Agreement and bring the original documents to the signing of the Grant Agreement.

Financial Support for Students with Specific Needs

Students with specific needs can apply for increased financial support, provided that before their departure they submit an Application for a Grant for Students with Specific Needs. Along with the application you must submit:

• a medical report
• a copy of the ZTP pass (if you have one)
• Erasmus+ programme documents: the signed Learning Agreement
• letter of acceptance in which the host institution confirms the acceptance of the participant for the mobility where it is stated that they understand the health state of the participant

There are three types of application:

• variant I: a simple type of application for up to 3 000 EUR for a foreign trip. Money is provided for example for:
  • food (various dietary needs such as for coeliacs and diabetics; it covers the difference in cost between standard diet and these purchases),
  • transport (the difference in price between standard travel and the requested enhanced standard transport of the location of the placement and once there during the placement),
  • accommodation (the difference in the price of the requested higher standard accommodation as against the normal – e.g., a barrier-free room close to the school),
  • medical care (regular consultations abroad, rehabilitation, physiotherapy, etc.),
  • specially modified study materials, etc.
• variant II: an application for up to 10 000 EUR for a foreign trip. Money is provided for example for an assistant or for an accompanying person;
• variant III: an application for more than 10 000 EUR for a foreign trip.

The amounts shown are preliminary. The true costs are paid, which have to be evidenced on return from the foreign placement.

You can find the Application for a Grant for Students with Specific Needs on the Czech National Agency for International Education and Research website in the section “Dokumenty pro žadatele a příjemce grantu (Žádost o podporu inkluze – studenti)”. Applications can be submitted at any time during the year, but no later than 2 weeks before signing the Grant Agreement (the student cannot make an appointment to sign the Grant Agreement before receiving the decision). The application must be submitted before departure as it is not possible to submit an Application and then have it approved retrospectively.

The application is handed to the Masaryk University institutional coordinator for the Erasmus+ programme Violeta Osouchová (via the ISOIS application). We recommend that you first consult the application with Teiresiás Centre (tothova@teiresias.muni.cz).

Application

Applications for study placements are submitted electronically and this can be done only in the announced terms (see the web pages of the individual department/faculty). Before submitting an application, please check that you meet the Qualification Conditions of the Erasmus+ Programme (which you can find in the Documents section).

The ensuing call for applications will take place directly with the department/faculty and is fully within the competence of the departmental coordinators, who themselves set the requirements for applicants and the dates for the calls for applications.

The call for applications must be duly announced and the results recorded in a protocol on the call for applications. Lists of nominated students are handed over by the departmental coordinators to the Centre for International Cooperation.

Nomination for an Erasmus+ study placement is binding. Should a student be compelled for serious health or personal reasons to cancel their nomination, they are obliged to inform their CZS coordinator, their department guarantor and the receiving institution. Withdrawal from nomination may influence future possibilities of being selected for this programme.

Before Departure

1. Nomination to the host university and the Application Form

• sources of information: the website of the host institution, ISOIS application (Before and during mobility section, Nomination abroad)
• the student finds out whether the host university requires an official nomination
  • information on whether the student has already been nominated is in their ISOIS application
  • please be patient, CZS process nominations one by one; if you do not see the nomination date in your ISOIS application within 2 weeks before the deadline, contact CZS (slozilova@czs.muni.cz)
• often, a host institution first requires an official nomination from the home university (MU) and only then sends the student an application form or login details to the university's information system and other necessary information
• the student ascertains the deadline for submitting the application, fills it in on time and submits it
  • the student is responsible for the correct completion of the application and sending it in time
  • possible requirements: Transcript of Records, language certificates (see FAQ section), Learning Agreement, letter of motivation, a scan of passport/ID

2. Completion of the Learning Agreement

• the Learning Agreement is completed ONLINE in the application in the ISOIS database, see Guide to Completing the Learning Agreement online (which can be found in the Documents section)
• the student discusses the Learning Agreement with the departmental coordinator at their faculty, who suggests the means of study recognition and with their electronic signature confirms that courses completed abroad by students will be recognized after their return
• the Learning Agreement is then confirmed by the CZS coordinator with their electronic signature and the document is then automatically sent for confirmation to the host institution
• MU will only accept Learning Agreements approved in ISOIS
• while abroad the student must gain at least 20 ECTS credits per semester
• Learning Agreement confirmed by both the home and receiving institution is a condition for the payment of a grant and must be submitted before signing of the Grant Agreement
• In justified exceptional cases, students may work on their theses or dissertations while abroad.
  • Since the academic year 2023/2024, only master's and doctoral students may work on their theses while abroad.
  • Doctoral students will be exempt from the requirement to obtain a minimum of 20 ECTS per semester (but remember that you must have 20 credits to register for the upcoming semester at MU). For master’s students (and the last two study years of the long 5y master’s programmes), the work on the thesis will cover only half of the required credits, i.e., they are required to enrol in courses of at least 10 ECTS credits per semester. Work on the thesis for bachelor’s students is not possible.
  • Students must find a consultant at the host university who confirms their Research Plan. After the end of the mobility, students submit a Research Report.

3. Securing Accommodation

• not all universities offer foreign students accommodation, some do not have any accommodation and the student must organise private accommodation (with or without the help of the institution)
• the student can find information concerning the possibility of accommodation on the website of the host institution, or the university itself may provide the student with information after receiving the application
• accommodation needs to be arranged sufficiently in advance!
• The costs of accommodation differ in each country, and in the more expensive countries expenses linked to accommodation can reach the level of the grant awarded per month; and students must often pay accommodation for the whole semester, regardless of the actual period of their study placement

4. Online Linguistic Support (OLS)

• makes it possible for mobility participants to assess their language skills

5. Signing the Grant Agreement

• the student must come to the CZS to sign the Grant Agreement 3 weeks at the earliest before the start of the stay, the Agreement cannot be signed after the start of the stay
• a personal visit of the student (or an authorised representative with power of attorney) to the CZS is obligatory, documents sent by post are not accepted! The appointment to sign the Grant Agreement must be arranged beforehand via the appointment calendar in ISOIS
• the CZS coordinator will generate the Grant Agreement and send it together with the Affidavit (Declaration of Honour) and the Application for Financial Support Grant Agreement to the student by email; the student is obliged to read the documents carefully and check the accuracy of the information provided, print and sign all three documents (the date of signature must coincide with the date of the appointment), which they will hand over to the coordinator during the personal meeting at the CZS
• before signing the Grant Agreement the student has a duty:
  • to enter the account number to which financial support will be sent into the MU Information System
  • to enter the account number to which financial support will be sent, and other required information into the ISOIS application 
  • to complete the online language test, should this duty apply (see above)
  • to have a Learning Agreement confirmed by all parties in ISOIS 
  • upload the confirmation of having been accepted for studies (Letter of Acceptance or its equivalent in the form of an e-mail, etc.) with specific start and end dates for the mobility in the ISOIS application
  • if the student applies for the Financial support for students with special needs, the student cannot make an appointment to sign the Grant Agreement before receiving the decision
  • if the student applies for an Increasing of financial support for students from disadvantaged socio-economic environments, it is required to upload the necessary documents no later than 10 days prior to signing the Grant Agreement and bring the original documents to the meeting to sign the Grant Agreement
  • arrange a personal meeting for signing the Grant Agreement beforehand via the appointment calendar in ISOIS
  • IMPORTANT! It is not possible to generate a Grant Agreement and proceed to its signing without fulfilling all of the above.
• the CZS coordinator will generate the Grant Agreement and send it together with the Affidavit (Declaration of Honour) and the Application for Financial Support Grant Agreement to the student by email; the student is obliged to read the documents carefully and check the accuracy of the information provided, print and sign all three documents (the date of signature must coincide with the date of the appointment), which they will hand over to the coordinator during the personal meeting at the CZS

Before their departure the student has a duty to record the study placement in the IS.

While abroad

All necessary documents can be downloaded directly from the application in ISOIS.

1. Changes to the Learning Agreement

• the student has the right to make changes in the Learning Agreement, these however must come into effect no later than 5 weeks after the beginning of the semester at the host institution
• all changes to the Learning Agreement have to be confirmed with electronic signatures from both the sending and host institutions
• changes to the Learning Agreement are made online in the ISOIS database in accordance with the Guide to Completing the Learning Agreement and Making Changes (which you can find in the Documents section)

2. Extending studies at a host Institution

• this is possible only after agreement with the sending and host institutions
• semester extensions are only possible within one academic year
• the student applies for an extension through the Application for Extension of Placement (available to download in the ISOIS application), which must be uploaded in your ISOIS application (section During mobility) no later than 30 days before the originally planned end of your study placement (late applications will not be accepted); this request includes:
  • motivation letter (specifying the academic reasons for the extension, which subjects you intend to sit and why),
  • schedule for the academic year or a link to the website of the host university (must be included directly in the application) as a basis for the date of ending the study placement given in the application; in the place of such a schedule it is also possible to submit a letter of acceptance with the end date of the extended period or a statement of the host coordinator of the end date
  • the application must be signed by the departmental coordinator at MU faculty as well as the coordinator at the host university
• the student does not automatically have the right to the financing of the extended placement, as it depends on the sending institution whether they will provide financial support for the extended period
  • extension without a right to financial support: the student does not receive financial support; however, they continue to have the status of an Erasmus+ student with the advantages that ensue (e.g. not paying tuition fees at the host institution, etc.)
  • extension with financial support: is possible only in the case of sufficient funding from the Erasmus+ programme, the change in the overall amount of financial support must be stated in an amendment to the Grant Agreement
• if the extension is approved, the student must take out insurance for the extended period; if the student extends by a whole semester, Changes to Learning Agreement for the second semester must be created in ISOIS

3. Shortened study placement

• this is possible after agreement of the student with the sending institution – if the student shortens the stay by more than 5 days, they send a notification of reduction form to their coordinator at CZS (downloadable in the ISOIS application form), in case of shortening the stay by up to 5 calendar days, they notify their CZS coordinator, the departmental coordinator and the host university by email
• the student will be asked to refund the proportional part of the financial support
• should the student not keep to the minimum length of the study placement, i.e., 2 months, they are obliged to return the entire financial support

After Return

All necessary documents can be downloaded directly from the application in ISOIS.

The student has a duty:

• within 10 days of completion of their study placement to submit to the application in ISOIS confirmation of the actual length of their study placement (Confirmation of Study Period) – the MU form downloadable in the ISOIS application is required
• within 5 weeks of publication of the examination results to submit to the application in ISOIS a transcript of the courses taken and the credits gained (Transcript of Records) – the form of the host university is preferred, or the MU form is available in the ISOIS application
• within 30 days from receipt of a call by email to compete the online final report (EU Survey)
  • The European Commission's platform for uploading final reports is currently not fully functional. We therefore ask for your patience.

Recognition of Foreign Study (rules)

• the recognition of subjects/credits is fully in the competence of individual faculties/departments/institutes and the departmental coordinator
• you can get information on the process of recognition of credits/subjects from the foreign/study departments at your faculty

Database of Erasmus students' final reports

• After the mobility, the student can share their experience in the Erasmus student´s reports database, which brings together the final reports of students from all universities in the Czech Republic. In this case, the student will contact their CZS coordinator to receive a call to fill in the records.

FAQ

What is the difference between a departmental coordinator and a CZS coordinator?  

The departmental coordinator is typically a teacher at your department with whom you discuss the academic aspects of your stay (e.g. which courses to enrol abroad and how to recognize them at MU). The CZS coordinator deals with administration, documents and payment of financial support.

Who is my departmental coordinator?

The departmental coordinator is typically a teacher at your department who is responsible for the selection procedure. In the Documents, you can find a list of departmental coordinators. 

What is a nomination?  

It how we let the host university know about the selected students. First, your departmental coordinator nominates you to the CZS. The second nomination is from the CZS to your host university. Usually this is the first step before you submit an application to your host university.

How does the nomination process work?

Each host university has its own nomination deadline. CZS will nominate you and then you usually fill out an application form in the host university's system. Check your host university's website for the application deadline and what documents you need for applying.

Has CZS nominated me to the host university?  

You can find out in your ISOIS application. If the nomination date is already there, the nomination has been submitted. You will also receive an automatic email about the nomination. If you don't have a date in your application and the deadline is less than 2 weeks away, contact us (slozilova@czs.muni.cz).   

Do I have to fill in an application abroad?  

Usually, after nomination from the CZS, host universities want students to register in their system (something like IS). They may ask you for a Learning Agreement (sometimes also their paper form), a Transcript of Records or a language certificate. Check out their website so you can prepare for this and find out the deadline.  

The university wants me to upload a language certificate in their application. But I don't have one.  

If you have taken a language course at MU, you can write to your teacher for a confirmation. Or contact the Language Centre at your faculty, where they can issue you a certificate. However, always check the specific requirements of your host university for the certificate.  

What is a Learning Agreement? And OLA?  

It is an agreement (LA) that confirms what courses you will study abroad and how they will be recognized at MU. Now you can only approve your LA online through the ISOIS system. You may also come across the acronym OLA (Online Learning Agreement) and that universities use different platforms. You will be fine with ours as the platforms are connected.  

What currency will I receive my financial support in?  

You can either have it in EUR or in CZK. For a EUR payment, you need a euro account in a bank in the European Union. Online banks such as Revolut or multi-currency accounts are not supported. For payment in CZK, a CZK account with any Czech bank is sufficient.

When will I receive my financial support?  

You need to sign a Grant agreement. It is signed at least 3 weeks before the start of the stay. First, fill in the required information in your ISOIS application and make an appointment in the ISOIS with your CZS coordinator. Once you have the agreement signed, it usually takes a few days before you have the money in your bank account.  

I have a signed Grant agreement. Is there anything else I need?  

You still need to record your stay in the IS so that your Office for studies knows that you are going abroad. Also upload there the LA which you can download from ISOIS. At the end of your stay, you will ask for recognition of the courses there.  

I am abroad and my courses have changed. What to do?  

You can make changes to your Learning Agreement within 5 weeks after the semester starts. Changes are made in your original LA and again are approved by all parties. We have a manual in the Documents.  

I finish my mobility earlier than my Grant Agreement. What to do?  

Inform your CZS coordinator by email. If you shorten your mobility by more than 5 days, you will be asked to refund a proportional part of your financial support. You will have the actual length of stay confirmed by the host university in the Confirmation of Study Period.
